The Senior Executive Administrator will be responsible for supporting executives in G&A and other selected areas with contracting, scheduling meetings, tracking and maintaining departmental projects and activities, including budgets, contract, and expenses, IR support, travel, assisting with Board preparation and communication, and assisting with other administrative services.

**Must have prior experience in a biotech/life science or pharmaceutical company.

Responsibilities include, but are not limited to:

  • Work independently or in a team, to plan, organize and complete a variety of non-recurring and ongoing projects, including but not limited to: special reports, spreadsheets, presentations, and strategic plans.
  • Maintain calendars, schedule appointments and conference calls.
  • Plan, prepare for meetings, and follow-up with various authorities including preparation of meeting agendas.
  • Make administrative decisions, schedule appointments and serve as a liaison internally to the team and externally to vendors, consultants, board members, and key stakeholders, as required.
  • Support Investor Relations activities.
  • Provide support for the team with domestic and international travel coordination as needed.
  • Manage and maintain department contracts and purchase orders. Interface with Finance on COUPA needs, PO creation and updates.
  • Employ discretion, tact, and diplomacy on a regular basis due to exposure to confidential/sensitive information and extensive interaction with senior management.
  • Provide support for conferences and meetings, including but not limited to; content review, materials management, booth sponsorship, storage/shipping logistics, meeting close-out checklists.
  • Support the preparation of external presentation materials, working closely with IR department
  • Assist with expense reimbursements as needed.
  • Coordinate logistics for department meetings as needed.
  • Other duties as assigned

Position Requirements & Experience:

  • Bachelor’s degree plus a minimum of 5 years of experience (an equivalent combination of experience and education may be considered).
  • Prior experience in a biotech/life science or pharmaceutical company
  • Prior experience supporting IR activities and projects.
  • Advanced knowledge of Microsoft Office, spreadsheets, databases, and other internal applications and software.
  • Proven successful experience booking complex domestic and international travel.
  • Proactive communicator with strong written, verbal and interpersonal communication skills.
  • Experience in working with senior level executives within and outside the company, as well as experience with board members, consultants, vendors and other key stakeholders.
  • Experience with calendar management, investor relations, project meeting and event planning and execution, preparation of executive level presentations, travel and expense report administration.
  • Adaptability to changing needs and situations.
  • Demonstrate flexibility by responding to unanticipated & complex issues.
  • Ability to exercise discretion and judgment regarding highly confidential internal and external communications and materials.
  • Ability to work efficiently with a client-service focus in a fast-paced, dynamic environment.
  • Ability to analyze risks within contracts and know when it is appropriate to escalate to management or to external resources, as necessary, for further evaluation or approval.
  • Demonstrate professional demeanor.
  • Proven ability to manage competing priorities in a fast-paced, rapid-growth environment
  • Ability to work independently and collaboratively adapt as part of a team
  • Strong interpersonal skills, including verbal and written communication
  • Candidates must be authorized to work in the U.S.
  • Travel may be required up to 5%

Pay Range and Benefits:

Salary: $141,373 - $173,458 USD

The starting pay rate is a guideline, and final individual compensation will vary based on factors such as qualifications, skill level, competencies, and internal equity.
