Resemble AI
We're looking for an exceptional Executive Assistant who can be a true partner to our leadership team. This isn't a traditional EA role—you'll be a strategic operator who multiplies executive impact through proactive problem-solving, flawless execution, and an ability to navigate the organized chaos of startup life. You'll manage everything from complex calendars and communications to office operations and special projects.
What You'll Do
Own executive calendars across multiple time zones—strategically prioritizing meetings, managing conflicts, and ensuring time is allocated to what matters most
Manage communications including email triage, drafting correspondence, and serving as a liaison between executives and internal/external stakeholders (team members, investors, board members, partners)
Coordinate meetings and events—investor meetings, board meetings, all-hands, offsites, and team events from logistics to follow-up
Handle travel arrangements including complex multi-city/international itineraries
Manage office operations including vendor relationships, supplies, space planning, and creating a productive work environment
Support special projects that range from investor materials to team initiatives—you'll be trusted with confidential, high-stakes work
Anticipate needs—flag conflicts, surface issues early, and proactively solve problems before they become problems
Be the glue—coordinate across teams, maintain relationships, and ensure nothing falls through the cracks
What We're Looking For
Startup experience or mindset—you thrive in fast-paced, ambiguous environments where priorities shift and roles are fluid
Exceptional organizational skills—you're a master of prioritization, time management, and keeping complex systems running smoothly
Tech-savvy—expert with Google Workspace, Slack, project management tools, scheduling software, and quick to learn new platforms
Proactive problem-solver—you don't wait for instructions; you anticipate, identify solutions, and make smart decisions independently
Outstanding communication—impeccable written and verbal skills with the ability to adapt tone for engineers, executives, and investors alike
High EQ and professionalism—you build trust across all levels, handle sensitive situations with grace, and maintain confidentiality
Business acumen—you understand enough about the business and tech to prioritize effectively and make judgment calls
Adaptable and resourceful—you figure things out, stay calm under pressure, and find creative solutions
Detail-obsessed—nothing slips by you; you catch errors, inconsistencies, and potential issues before they happen
