The Opportunity

Join™ is seeking a highly proactive, resourceful, and adaptable Office Manager Executive Administrative Assistant to support our CEO and C-suite executives. This is not just a traditional admin role—you’ll need to be a bit of a “mind reader,” anticipating needs before they arise and proactively identifying ways to free up our leadership team from administrative tasks.

The ideal candidate will thrive on building relationships with executives, asking the right questions, and stepping in to solve problems before they become issues. A friendly and approachable personality, combined with a sharp sense of humor, will go a long way in creating positive interactions with our team and stakeholders.

You’ll excel in this role if you love creating order out of chaos, juggling multiple priorities, and providing exceptional support that empowers our leadership team to focus on driving the company forward.

What You’ll Do:

  • Anticipate Needs:
    • Stay one step ahead by proactively identifying tasks, challenges, and opportunities to support the CEO and C-suite team.
    • Ensure executives have everything they need for meetings, travel, and day-to-day operations without needing to ask.
  • Relationship Building:
    • Actively connect with executives and their teams to understand their needs and alleviate them from administrative burdens.
    • Serve as a trusted partner, building rapport with both internal and external stakeholders.
  • Calendar & Meeting Management:
    • Own complex calendars, scheduling high-priority meetings across multiple time zones while ensuring strategic use of executives’ time.
    • Prepare agendas, materials, and follow-ups for meetings to maximize productivity.
  • Travel Coordination:
    • Plan and manage detailed domestic and international travel itineraries, ensuring all logistics are seamless.
    • Handle last-minute changes or disruptions with grace and efficiency.
  • Expense Management:
    • Process and submit expense reports, ensuring accuracy and timeliness.
    • Track spending and assist with budget adherence for travel and events.
  • Communication & Materials:
    • Draft, proofread, and polish correspondence, presentations, and reports on behalf of the CEO.
    • Filter and prioritize incoming communications, ensuring urgent matters are addressed promptly.
  • Event Coordination:
    • Plan and execute customer meetings, board events, and internal gatherings with exceptional attention to detail.
    • Manage logistics, such as venue selection, catering, and swag preparation, to create a seamless experience.
  • Create a Welcoming Office Environment:
    • Maintain a well-stocked, organized, and inviting workspace that supports productivity and collaboration.
    • Ensure snacks, supplies, and equipment are available and functional.
  • New Hire Onboarding:
    • Prepare personalized welcome kits and set up new hire workspaces to create an exceptional first impression.
  • Vendor and Facilities Management:
    • Manage vendor relationships, oversee facility maintenance, and address any operational issues promptly.
    • Procure office furniture, equipment, and supplies as needed.
  • Culture and Events:
    • Organize team-building activities, celebrations, and holiday events that reflect Join’s dynamic culture.
    • Champion initiatives to foster a fun, supportive, and connected workplace.

What You Bring:

  • Experience:
    • 10+ years of experience providing executive-level support to CEO’s and senior leaders. Preference given to candidates with recent experience within a dynamic, high-tech startup environment.
  • Skills & Mindset:
    • Proactive Problem-Solving: You anticipate needs and take initiative to handle them before anyone asks.
    • Relationship Builder: You connect easily with people, ask the right questions, and foster trust with stakeholders.
    • Organized Multitasker: You excel at juggling multiple priorities without dropping the ball.
    • High Emotional Intelligence: You can read the room, adjust your approach, and navigate personalities effectively.
    • Adaptability: You thrive in an ever-changing, fast-paced startup environment.
    • Sense of Humor: You bring a positive, approachable attitude that lightens the mood and fosters strong relationships.
  • Technical Proficiency:
    • Strong skills in Google Workspace, Microsoft Office, and scheduling platforms (e.g., Calendly, Zoom).
    • Experience preparing materials for client meetings, board sessions, and internal presentations.

Compensation: $90,000-$115,000 depending on experience
